Basic Purpose:  To perform administrative and clerical support as needed in support of the Dean of the College of Liberal Arts and Social Sciences (3 days/week) and the Dean of the College of Natural and Health Sciences (2 days/week).

  • Strong written and oral communication skills
  • Excellent ability to coordinate activities with other Administrative Coordinators
  • Excellent computer skills: Microsoft Office (Outlook, Word, Excel, PowerPoint)

 

 Principal Duties & Responsibilities

  • Performs administrative tasks at the direction of the Deans
  • Manages master calendar, college and office meeting schedules using the Outlook calendar and issues reminders as required
  • Provides general administrative services to both Deans
  • Proofreading
  • Accreditation
  • Expense and budget reports
  • Attends college meetings and events to take minutes, notes, or photos as appropriate
  • Advises and assists in event planning and special projects as needed
  • Answers questions and provides general information to students, faculty, and staff
  • Assists the Deans’ review of schedule of courses
  • Creates spreadsheets and organizes data as needed
  • Monitors budget and handles invoices, cost allocations, and approvals by dean or appropriate personnel
  • Compiles and generates reports needed for the functioning of the colleges and other academic initiatives
  • Writes and edits documents and newsletters as needed
  • Handles all aspects of the Dean’s List for both colleges
  • Ensures award certificates for Departmental recognition are updated, signed and processed
  • Organize and manage logistics of award ceremonies
  • Assists with travel arrangements for guests of the Deans
  • Keeps current on technologies and their uses as appropriate
  • Orders office supplies
  • Manages student workers and GAs as appropriate
    • `Trains and supervises work-study students under the direction of the Deans
    • Compiles list of duties in writing
    • Submits summaries of work-study activities as required

 

Education, Specialized and/or Technical Knowledge Requirements

  • Associate degree or equivalent education preferred
  • Three years of office experience required
